POLICIES and PROCEDURES: Front of House Regulations

Artist Meet and Greet
Author or guest artist appearances to meet with patrons will take place in the West Lobby. An eight-foot skirted table will be provided and positioned by NW exit door. Crowd control stanchions will also be provided. Patrons must queue a line along the west wall of the lobby to permit patrons to exit the Auditorium. All exits must remain accessible. Any changes to policy must be made time of issuing of the Lease Agreement.

Book Sales
All book and periodicals sales are managed by Follett through the Butler University Bookstore. Any change in the arrangement must be approved by Follett and a written copy of approval must be on file at Clowes Memorial Hall. All proceeds from the book sales will remain with Follett.

Event Decorations
All building decorations must be approved prior to event before installation. Decorations (including table decorations) must be certified as flameproof. Clowes does maintain a supply of flame retardant treatment chemicals which are available for purchase. Decorations or their installation must not interfere with the egress of patrons (i.e. all exit doors must be totally accessible both physically as well as visually). No open flame candles are permitted. All candle decorations must be enclosed in glass containers.

Krannert Room Events
Krannert Room entrance must be accessible at all times. An eight-foot table is permitted at the base of the east stairs. The table must remain between the West railing and East wall.

Food preparation is restricted to the Krannert Room kitchen.

The Krannert Room West Entrance is available for additional catering space for food service. The carpeted areas must be protected from damage at the Lessee’s expense or by an approved method by Clowes. All damage to the area will be the responsibility of the Lessee.

The Lessee is responsible of removal of all trash and garbage immediately following an event. Clowes custodial services are available for the removal of trash and garbage at an additional fee. Arrangements for Clowes services should be made in advance.

Lobby Displays
Due to the architectural design of the Main Lobby, there must be a pathway of 14 feet wide in all public areas. All table displays and/or souvenir stands must not exceed a total of 10 feet between the north and south walls of the Main Lobby. Four additional display areas are available in the Main Lobby; 2 along the south wall, 1 on the east wall and 1 west wall. These display areas will accommodate one 8 foot table each.

Merchandise Sales
Per the Clowes Hall Lease Agreement, clause 28; Clowes will collect a commission as well as the Indiana State Sales Tax from all vendors. The Executive Director must approve any and all exceptions at time of signing of the Lease Agreement.

Promotional Displays
Sponsor and/or media tables or displays need prior approval from Clowes. A table will be designated in an area determined by Clowes management. Promotional activities including prizes and distributed materials must also be approved. The distribution of any food/beverage must be served by a licensed food vendor.

Receptions
Per the Marion County Board of Health, a licensed caterer must provide food service at all public receptions. The caterer must file with Clowes a copy of their valid Division of Public Health License, a copy of valid liquor license for the sale of alcoholic beverages and active liability insurance.

Private receptions may be catered by the sponsoring organization. Only pre-packaged foods and beverages are allowed to be served as per the Marion County Board of Health.

Receptions Area in East and West Marquee
All egresses to the outside marquee and terrace entrances must be free and clear. It is recommended that only one 8 foot table be located along the south wall. No more than three highboys or one four-foot round can be positioned in this area.

Reception Area in Lobby
The total area of the food display area cannot exceed 8 feet wide and 20 feet long. .A large food display can be positioned center between the north and south walls, along the north wall or along the south wall. Additional display tables can not be positioned in these areas in the event of a reception.

Signage
Exterior signage is limited to only a banner mounted off the exterior marquee. Signage can only display the name of sponsoring organization, event name and date(s). Corporate sponsorship and/or media signage is not permitted outside. Clowes technical staff and/or BU facility personnel can install signage. Please make arrangements in advance with the Stage Coordinator for the installation of signage banner.

Corporate and/or foundation sponsorship signage cannot be displayed within the auditorium of Clowes unless it is part of the scenic element of the event. Corporate and/or foundation signage is permitted in the Lobby areas. Acceptable locations include terrace rails (size may not exceed depth and width of walls) and tables. Signage must be certified flameproof and/or made of flameproof material.
Temporary signage of any kind is not permitted on painted walls within Clowes Hall. Clowes does have a limited number of easels, display boards, 3-sheet frames and sign stands to allow for temporary signage. Please make arrangements in advance to reserve signage equipment.

Tables
Sponsor and/or media tables need prior approval from Clowes. If there is space, a table will be designated in an area determined by Clowes management. Product give-away and the methodology of distribution must be approved by Clowes in advance.
